Introduction:
This guide explains how to set up a family or couple’s membership in GO as a workaround since the platform does not currently offer a dedicated family membership feature. By following this process, you can ensure that multiple members are connected under one paying member while maintaining proper access to sessions and billing alignment.
Process Description:
The goal of this process is to create a shared membership setup where one member is designated as the financially responsible member (the paying member), and additional family members are linked through a free version of the same membership plan. This allows all members to share the same access and session limits while only one member is billed.
Gathering Materials/Resources:
- Member profile for the primary (paying) member
- Member profiles for each associated family or couple’s member
- Plan details for the paying version of the plan (billing cycle, sessions per period, and plan length)
Step-by-Step Instructions:
-
Create the primary (paid) plan
- Go to Operational>Plan Management
- Click +Add a new plan
- Set the plan settings (price, sessions per period, plan length, billing etc.)for the plan that will be attached to the paying member.
-
Create a free version of the plan
- While on the Plan Management screen, locate the paid version of the plan and click the copy icon until the Actions column to duplicate the paying member’s plan. This will copy over all the same plan settings as the pad version of the plan.
- Indicate in plan name that this is a free version of plan.
- Set the Billing Type to Free.
-
Attach the paying version of the plan to the financially responsible member.
- Go to the Membership & Payments tab of the financially responsible member’s profile.
- In the Memberships Table click the + icon to attach the paid plan to the member.
-
Attach the free plan to non-paying family members
- Go to the Membership & Payments tab on each family member’s profile.
- In the Memberships Table click the + icon to attach the free plan to the member.
-
Update session eligibility
- Ensure the free plan is listed as an accepted plan for all relevant sessions.
- This ensures that all members under the family membership can book and attend the same sessions as the paying member.
-
Confirm setup.
- Verify that the paying member’s billing information is correct.
- Check that the non-paying members can access the sessions without being charged.
Tips and Best Practices:
- Keep naming consistent (e.g., Family Plan – Paid and Family Plan – Free) to make it easier to identify linked plans.
- Document which members are covered under each family membership to prevent confusion.
- Test booking for both the paying and non-paying members to ensure everything is working correctly.
Next Steps:
- Monitor the first billing cycle to confirm that only the primary member is charged.
- Adjust or update the free plan as needed when the paying member’s plan changes.
- Communicate to staff how to identify members under a family or couple’s membership.
